Operations Support Officer, CEO Office - Position Overview

This position is an exciting opportunity at the heart of Avaaz. The CEO office oversees each and every part of the organisation, and their assistant is an essential part of making that possible! The CEO office is responsible for developing the vision and strategy of the organisation and delivering on our short, mid, and long term goals. We need someone who can provide flawless administrative support and calendar management. The ideal candidate will have a proven track record in logistics, with the ability to effectively support the CEO’s office in managing and adapting to shifting priorities. The focus will be on providing high-level assistance to the Chief of Staff in managing priorities, executing strategic initiatives, and coordinating efforts across the CEO's office.

This role reports to the Chief of Staff, CEO Office.

Responsibilities

  •  Manage and monitor the CEO’s office inbox, prioritize tasks, and ensure smooth progress throughout each day.
  • Conduct research, perform fact-checking, proofread, and prepare briefings as needed.
  • Provide comprehensive administrative and personal support.
  • Organize and coordinate schedules, meetings, travel arrangements, and logistics for the CEO and Deputy Director.
  • Enable efficient communication between the CEO, Deputy Director, and broader team for seamless collaboration.
  • Oversee administrative tasks and coordinate with the Avaaz Board to ensure adherence to internal bylaws.
  • Support additional administrative and organizational responsibilities within the Operations team, including assisting with planning team retreats.

  • Experience in an executive-level support or operations role with demonstrated track record of success;
  • Strong teamwork skills, comfortable in a highly collaborative team culture and a hierarchical team structure
  • A growth mindset and a strong drive to challenge yourself and continuously improve.
  • Ability to maintain confidentiality and handle sensitive matters with discretion and diplomacy
  • High professionalism, self-motivation, efficiency and results-oriented delivery on short timeline
  • Ability to adjust quickly to changing conditions and requirements
  • Passion and commitment to global justice, citizen empowerment, and social change
  • Excellent written and verbal communication skills.
  • Proficient in Google Suite and online communication systems (Slack, Zoom, etc).
  • Excellent written and verbal skills in English; additional languages are an asset.

Location
Avaaz is a virtual organisation, with most of our work done online. Our staff are based all over the world. For this position, the candidate would ideally be based in the Eastern Timezone (EST). Strong candidates outside the preferred location will also be considered.
Compensation and Benefits
We make sure our salaries match both your experience and the cost of living where you are based. Our packages are aligned with top international NGOs, so you can count on a competitive offer:
US$79,000- US$102,000 - For candidates based in the US and Canada.

For other locations, we’ll provide an accurate salary range  to reflect the cost of living in your area.
